Take a structured approach to team discipline

Every business inevitably encounters a “problem employee” — an individual who struggles to get along with coworkers, frequently violates company policies, or consistently ignores directions. These employees can significantly drain productivity and morale, making it crucial for employers to manage such issues with a structured approach.

The following guide outlines key steps to address problem employee behavior effectively, ensuring accountability and providing a clear path toward resolution or termination if necessary.

Develop a comprehensive handbook

  • Clearly specify acceptable and unacceptable workplace behaviors.
  • Include policies on sick leave, overtime, harassment, and expectations around attitude and interactions.
  • Ensure new employees review and acknowledge the handbook upon starting.

Address problem behavior directly

  • Investigate incidents promptly to understand the situation.
  • Determine if a policy violation occurred and ensure employees are aware of the rules. Respond to issues quickly to emphasize the seriousness of the behavior.

Document everything

  • Keep detailed records of the incident, including what happened and which policy was violated.
  • Make sure the employee understands the issue and agrees to change their behavior.
  • Document repeated offenses and emphasize prior warnings.

Follow consistent disciplinary procedures

  • Apply uniformity in disciplinary actions to avoid claims of unfair treatment.
Ensure termination decisions are based on documented policy violations.
